Periodic Kosher Inspections by Local Rabbinic Field Representatives: A Closer Look

In our previous post, we emphasized the importance of regular unannounced inspections. Now, let’s explore the different types of inspections carried out by local Rabbinic Field Representatives. These inspections, whether scheduled or unannounced, target various aspects of kosher certification compliance, each focusing on key areas of production and operations. Below, we highlight the primary focus of these visits:

Regular Visits

1. Receiving Records

  • Inventory Verification: The representative compares the company’s inventory with the approved ingredient list from OK Kosher to ensure all materials match the certified list.
  • Kosher Symbols: They verify that kosher symbols and restrictions appearing on the approved ingredient list match the inventory labels, ensuring compliance with OK Kosher’s standards.

2. Production Compliance

  • The representative reviews production steps to ensure the facility follows kosher guidelines.

3. Formulae (Batch Cards)

  • Consistency: The representative may request to confirm that specific formula printouts provided by OK Kosher match the production batch cards.
  • Logbooks and Schedules: Logbooks and production schedules may also be reviewed to ensure that equipment remains kosher compliant.

4. Labels

  • Finished Product Labels: Labels for finished products, whether in full or as samples, are reviewed to confirm they match kosher certificates. This can also include private labels. Plant personnel should have these label samples readily available for inspection.

Key Protocols

  • Scheduled vs. Unannounced Visits: While the first visit is scheduled, all subsequent inspections are unannounced, requiring immediate facility access.
  • Approval Authority: Representatives cannot make procedural changes; all modifications must be pre-approved in writing by OK Kosher Rabbinic Coordinators or approved personnel.
  • Escort Procedures: Plant personnel should be ready with all necessary inspection materials or know how to direct questions to the appropriate individual.

Production/Kosherizing Visits

For kosherization and specific productions requiring oversight, the local Rabbinic Field Representative ensures that all inventory used in production is approved by OK Kosher before production begins.

  • Setup and Scheduling for Production Visits:
    • Before scheduling a visit, confirm that all ingredients and formulae are approved by OK Kosher.
    • Ensure any kosherizing instructions from your Rabbinic Coordinator are readily available.

Productions requiring on-site supervision (e.g., kosherization or Passover productions) should be scheduled through a written request to OK Kosher. Once confirmed, OK Kosher will assign a representative and finalize logistics. In some cases, the Rabbinic Coordinator may authorize direct contact with the representative to facilitate planning.

Preparation and Timing

  • Confirm production visits at least five business days in advance to ensure representative availability and receipt of instructions from OK Kosher.
  • Note: Representatives are unavailable on Saturdays and most Jewish holidays.
  • At the start of production, plant personnel should have all OK Kosher approvals, including K-IDs for each finished product, ready.

Addressing Issues During Kosher Inspections

We see you as a partner in making kosher products available to consumers. Our collaborative approach helps maintain kosher standards while fostering a positive working relationship with your facility. The best way to solve problems is to prevent them from occurring in the first place. The next time you hear, “The rabbi is here,” think of it as more than just an audit—consider the representative as your personal OK Kosher safeguard!

By adhering to these protocols and maintaining open communication with our team, you can be confident that your facility will meet the highest kosher standards. At OK Kosher, we are dedicated to supporting your business at every step, ensuring a smooth certification process that not only upholds kosher integrity but also enhances your brand’s reputation.
